Coffee Connoisseur Grinds on with Cin7 Inventory Management

Cin7 helped the founder of a rapidly growing coffee-roasting business meet its broad manufacturing and selling needs: wholesale, retail and online.

Peter Wolff readily admits that his career in coffee was a complete accident. A coffee-roasting opportunity that arose trumped his dish-washing job and he became “completely obsessed.” Law school plans went down the drain.

He’s now International Coffee Roasters Awards chief judge and founder of global coffee business Wolff Coffee Roasters, which roasts and sells unique blends, offers barista and roasting courses, and sells equipment (some of it with price tags to the tune of a quarter of a million dollars). “We have a very disciplined approach to our methodology of roasting coffee,” Peter says.

Peter began using Cin7 because of its robust small business inventory management and its integration with Xero accounting software. Three decades since the business first began, it’s still growing rapidly. “Within the past 12 months, our business has doubled. I think Cin7 has played a part in being able to sustain and support the growth.”

A Better Option

Peter says Cin7 was a better option than the company’s previous system, Unleashed, because of the broad needs of Wolff Coffee Roasters, which manufactures and sells wholesale, retail and online. Cin7 has a Bill of Materials function so users can create lists of raw materials used to create a final product, which Unleashed lacked. “That particular element of Unleashed didn’t allow us the scope we needed to manage our business successfully.”

With Cin7 “we have greater communication, are more efficient,” Peter says. “It’s a multiple-user platform and it allows us to draw lots of different information streams into one. The dashboard function gives a quick snapshot of how we are travelling in terms of sales. To me, that’s vital information.”

Wolff Coffee Roasters buys high-quality coffee, and imports and exports product globally. Peter needed a solution that enabled him to trade in multiple currencies, which Cin7 could.

Peter also uses Shopify for ecommerce so Cin7’s integration with that platform was another benefit. “In terms of communication with our online store Shopify, it’s brilliant.”

Responsive Quoting

He says Cin7’s robust manufacturing module enables better management of his inventory and production, flowing successfully between sales inquiries and production jobs.

Quoting with Cin7 is a smooth, easy process. Staff sends quotes to the customer, which the customer accepts online. Staff then send a purchase order to the supplier immediately from that quote. “It’s quite seamless in terms of its workflow. We find the quoting module quite responsive; the customers get it.”

With customers numbering 700, Wolff Coffee Roasters had to relocate to a bigger space late last year. This made evident the benefits of a cloud solution, as the lack of heavy hardware meant moving wasn’t a big deal. “The dynamics of our business are quite complex, and to be honest, we have found Cin7 to be the best fit of everything to date.”

Peter’s overall rating is 95 percent. “Support that we have received from Cin7 from the very get-go has been brilliant.”
